All procedures and policies will be in compliance with the Bylaws of River Bourgeois Community Services Society.
River Bourgeois Community Services Society shall maintain tendering/non tendering agreements with reputable individuals and/or companies for supplies, equipment, maintenance and/or renovations. River Bourgeois Community Services Society is obligated to its members to ensure that the lowest and best price is achieved in purchasing products and services, conditional that performance and value conditions are met and to ensure procurement is transparent, accessible and equitable.
- Expenditures of $2000 or less may be approved by the River Bourgeois Community Services Society Executive with or without tendering.
- Expenditures in excess of $2000.00 may be considered for tender and approved by River Bourgeois Community Services Society Board of Directors.
- River Bourgeois Community Services Society may advertise for potential individuals/companies through local media.
- River Bourgeois Community Services Society shall select a successful tender from the fully qualified tender(s) who demonstrate they can fulfill all conditions and performance requirements of the contract to the satisfaction of River Bourgeois Community Services Society.
- For comparative purposes tender prices may be adjusted to ensure the submission complies with the original tender specifications and that an equitable comparison can be made between all submitted tenders.
- Preference may be given to individuals and or companies residing in River Bourgeois. In the event that there are no individuals/companies residing in River Bourgeois, consideration will be given to non residents
- The lowest bid or any bid may not necessarily be the accepted from submitted tenders.
Property Services Chairperson(s) may have the discretionary authority to carry out emergency repairs which may be based on health & safety risks or damage to property to a maximum of $500.00 without the approval of the River Bourgeois Community Services Society Board of Directors or the Executive.
Any exception to the above policies/procedures must be approved by the River Bourgeois Community Services Society Board of Directors.
The above policies/procedures supersede any policies/procedures put in place by the River Bourgeois Community Services Society Board of Directors.
